Teachers Retirement Association (TRA) has been providing pension coverage to Minnesota educators for decades, with a mission to help members and their beneficiaries plan for an independent and financially secure retirement. We are currently seeking job candidates with executive administrative support and customer-facing leadership experience for our Administrative and Executive Support Manager role.
Our Administrative and Executive Support Manager position exists to manage TRA’s Administrative Support Department, which includes lobby services, office mail and imaging operations, facility issues, TRA’s vehicle program, and executive administration. In this role, the incumbent will help to coordinate TRA’s Board of Trustee election and appointment processes, and will independently administer complex administrative and technical services associated with Executive and Board related programs and activities. The incumbent will further provide a broad range of administrative services for internal staff, including overseeing facility repair and remodel requests. Lastly, the incumbent will also serve as TRA’s Employee Engagement Coordinator who is responsible for developing/implementing strategies and coordinating events with Executives and Human Resources, in order to enhance/maintain employee morale and overall employee job satisfaction, as well as to support a positive work culture that aligns with the mission and vision of TRA.
This position is located in our St. Paul, Minnesota office and will require the incumbent to work a schedule that includes in-person work. Additionally, travel may be required up to 25% of the role.
Minimum Qualifications
Four (4) years of progressive work experience in a customer-facing organization providing customer service related to employee and/or government benefits administration, accounting, payroll, finance, or insurance.
A Bachelor’s degree in Accounting, Finance, Business or Public Administration, Math, Economics, or a related field may substitute for one (1) year of experience.
Work experience must demonstrate the following:
- Leadership responsibility requiring the supervision/leadwork of staff and/or management of major enterprise project(s).
- Responsibility to successfully provide in-person, virtual, and telephonic administrative support services to customers.
- Responsibility to resolve external customer matters, including escalated concerns, with accuracy, privacy, and respect.
- Demonstrated strong mathematical aptitude to manage a budget for a work unit.
- Ability to plan, organize, and successfully manage competing priorities, deadlines, details, and employee scheduling.
- Ability to diagnose problems and recommend solutions for process improvement purposes.
- Ability to collaborate on the development of comprehensive customer service protocols to best serve TRA members, internal employees, and other stakeholders.
- Strong interpersonal, written communication skills, and verbal communication skills necessary to collaborate on enterprise projects and initiatives; communicate information about sensitive topics; assist with board member and stakeholder relations; influence others to resolve conflicting viewpoints; motivate, coach, and/or provide constructive feedback to employees; and champion a work culture that advocates for inclusion.
- Advanced proficiency in using Microsoft Word, Excel, Access, PowerPoint, Outlook, Cisco WebEx, or equivalent software packages.
A valid driver’s license will additionally be required to manage the TRA vehicle program and vehicle maintenance.
Successful candidates must possess the ability to secure their transportation for business travel, if a TRA vehicle is not available for use.
Successful candidates must further also be willing and able to work at our St. Paul Office on most business days in order to ensure the achievement of work objectives. Some telework may be permitted.
Preferred Qualifications
Experience supervising lobby or front desk staff.
Experience working for a public or private institution providing financial services.
Experience managing a budget for a work unit.
Experience supporting Executive staff and/or a Board with stakeholder management, as well as assisting in the administration of organizational programs and activities.
Experience with office mail/courier, scanning, and/or imaging processes and systems.
Physical Requirements
This position requires occasional transporting of articles such as file folders, ledgers and/or small tools. May be required to move or maintain a stationary position for long periods of time.
