Position Summary:The Facility Maintenance Administrator supports safe, efficient, and cost-effective facility operations by
coordinating all maintenance-related administrative processes. This includes managing work orders and
maintenance systems, maintaining accurate equipment and parts inventory, coordinating vendor services,
processing purchase orders and invoices, supporting budget controls, ensuring documentation compliance, and
providing consistent communication and data that enable the maintenance team to operate at a high level.
Duties & Responsibilities:- Manage Maintenance Systems:
- Administer the maintenance task tracker and Enterprise Asset Management (EAM) system.
- Create, assign, prioritize, track, and close work orders to ensure timely completion and system accuracy.
- Coordinate Preventive Maintenance (PM)
- Plan, schedule, and monitor Preventive Maintenance activities to ensure equipment reliability, operational
efficiency, and compliance with maintenance standards.
- Inventory & Parts Management:
- Maintain accurate parts inventory, including conducting weekly cycle counts.
- Track and fulfill technician parts requests.
- Reorder critical spare parts to avoid operational delays or service interruptions
- Vendor & Contractor Coordination:
- Schedule and coordinate vendor and contractor service visits.
- Ensure services are completed according to standards, timelines, and contractual requirements.
- Purchasing & Invoice Tracking:
- Create, submit, and track purchase orders for materials, spare parts, and contracted services.
- Verify accuracy of vendor invoices and ensure timely submission, processing, and alignment with
completed work and approved POs.
- Budgeting & Cost Management Support:
- Assist leadership with developing and managing operating and capital budgets.
- Support cost tracking, benefit analysis, and financial reporting for maintenance-related projects and
expenses.
- Recordkeeping & Compliance:
- Maintain organized, accurate maintenance documentation, logs, and compliance files.
- Support inspections, audits, safety programs, and regulatory reporting requirements
- Prepare and distribute daily, weekly, and monthly maintenance reports.
- Track and communicate key performance indicators (KPIs) such as work order completion, PM compliance, vendor updates, inventory parts cycle counts, and open items requiring follow-up. •
- Communication & Leadership Support:
- Provide updates and relevant maintenance information to leaders and operational teams.
- Assist and prepare reports, presentations, and meeting materials for maintenance leadership and team meetings.
- Provide daily administrative and logistical support to maintenance technicians, ensuring access to tools, materials, parts, instructions, and safety resources.
- Assist technicians with documentation, troubleshooting coordination, and prioritizing urgent tasks. - Support removing workflow barriers and escalating issues that require leadership attention.
Knowledge:- Microsoft Office Suite (Excel, Word, PowerPoint)
- Reporting, data analysis, and documentation practices
- Parts, materials, and inventory management fundamentals
- General understanding of maintenance operations and facility management processes

Education:High School Education or Equivalent
Pay: $23.50 /per hour
Schedule: Monday through Friday (Day Shift)
