Job Summary
Provides advanced administrative and organizational support within a location or functional area to support smooth operations. Handles complex tasks such as managing schedules and projects, preparing reports and correspondence, and coordinating activities with internal and external contacts. Must be able to work with a greater degree of independence and responsibility.
Key Responsibilities:
- Enter and track daily activities within service requests
- Enter, update, and maintain project information utilizing internal systems
- Manage trucking purchase orders (POs) from start to finish, including:
- Creating POs and entering PO numbers on corresponding service request activity lines
- Communicate with freight vendors to confirm load details, obtain rates, and issue POs
- Updating POs with vendor-provided information
- Receiving completed POs
- Creating PDF files of POs and associated invoices for project records
- Prepare and complete quotes as they are received for local site-specific locations.
- Provide customer and project information to sales representatives and managers to support quote preparation
- Maintain local site-specific forecasts by updating new quotes and ongoing project changes
- Update and track mat count data to verify accuracy using Microsoft Excel and the internal system
- Collect required documentation for project billing upon completion of service requests, including mat counts, freight charges, and labor costs
- Maintain mat re‑rental, POs and tracking spreadsheets, including coordinating with vendors to obtain documentation and invoices
- Review and approve employee project labor hours
- Maintain customer specific project files in both digital and physical formats
- Review and resolve items on weekly hold reports and monthly RNI reports
- Assist with vendor setup as needed
- Process and track expense reports for designated team members (site management)
- Coordinate mat shipments and print field paperwork when coverage is needed
Education and Experience Requirements
- High School Diploma or Equivalent
- Two years of Job Related Experience
- Purchasing order experience a plus
- Advanced user of Microsoft Excel and Outlook a plus
- Customer service driven a MUST
Credentials/Prior Knowledge Needed: Strong communication, organization, time management, and computer proficiency, particularly with software systems.
