The
Real Estate Facilities Manager is responsible for the strategic and operational management of all facilities and real estate portfolios across multiple geographic locations. This role encompasses both daily facility operations and strategic real estate initiatives, ensuring alignment between operational excellence and business growth objectives.
The key responsibilities of this position include managing the operations of buildings and grounds, along with their support systems, safety, and security. The manager will ensure that the facilities comply with all legal and regulatory requirements. In collaboration with the legal team to manage the terms and conditions of rental contracts.
Additionally, this role involves leading the comprehensive management of property portfolios, which includes both owned and leased assets. The manager will evaluate, structure, negotiate, and optimize lease arrangements, subleases, and occupancy strategies. They will partner with finance, legal, and executive leadership to align real estate decisions with business growth and cost optimization goals. The manager is also responsible for recommending and managing budgets and capital expenditures for facilities and operations. They must prepare cost estimates, determine allocations for building renovations and space planning, and develop and present budgetary and management reports to leadership.
Special projects may also be assigned. The candidate will ensure that all facilities conform to corporate standards and operational needs.
Essential Job Responsibilities
- Oversee the daily operation, maintenance, safety, and compliance of all owned and leased facilities.
- Develop, manage, and control facilities and real estate operating and capital budgets.
- Analyze current and future space requirements to support business operations and growth.
- Identify, evaluate, and recommend real estate strategies including expansions, consolidations, relocations, subleases, and exits.
- Lead negotiations for new leases, renewals, amendments, subleases, and early terminations.
- Develop and structure lease and sublease agreements to optimize cost, flexibility, and risk.
- Manage existing lease agreements and maintain accurate lease administration, including tracking critical dates, obligations, and financial impacts.
- Identify excess or underutilized space and execute strategies for subleasing or alternative use.
- Ensure compliance with applicable federal, state, and local health, safety, environmental, and building regulations, including ICC and NFPA standards.
- Manage relationships with landlords, property managers, brokers, vendors, and service providers.
- Lead facilities-related projects, including repairs, improvements, buildouts, renovations, and tenant improvements.
- Organize RFP processes, vendor selection, contract negotiations, and performance oversight.
- Partner with Finance and Legal to analyze lease terms, model financial outcomes, and ensure contractual compliance.
- Manage facility maintenance programs, including preventive maintenance schedules and third‑party service agreements.
- Coordinate with QHSE on safety programs, inspections, fire drills, audits, and compliance activities.
- Facilitate environmental assessments, permitting, licensing, and regulatory approvals for facilities and real estate projects.
- Manage utilities and building services, including power, lighting, waste, and water systems.
- Prepare and present reports, data, and strategic recommendations to leadership to support decision‑making.
- Manage facilities staff and on‑site resources, including front desk and support personnel.
Physical Demands Of The Job
In this position, the employee is regularly expected to engage in two-way communication. Additionally, the employee will need to visit remote construction sites and must adhere to all safety and health standards.

Education And Experience Requirements
- Degree in related field or 5-7yrs relevant experience with professional certifications and management experience
- 7 years of experience in facilities management or related area.
- 3 years of experience managing internal staff and overseeing service provider execution.
Certifications, Licenses, Registrations
- Certified Facility Manager (CFM) preferred not required, Real Estate License (Valuable, not required)
Additional Details
- Proven history of identifying and negotiating commercial lease and sale agreements.
- Knowledge of health, safety and environmental regulations.
- Knowledge of general maintenance methods, operating requirements, and HSE precautions related to facilities management.
- Ability to work as a team and operate under stringent timelines.
- Skilled in Building Management Systems maintenance and monitoring.
- Ability to communicate clearly and effectively with internal and external functional teams.
- Excellent customer service skills.
- Ability to manage multiple projects simultaneously
- Prior experience budgeting, forecasting and financial modeling developing and working with budgets, forecasts, and financial models
