The AWS Global Communications team is seeking an Executive Assistant (EA) to provide high-quality administrative support to two Directors in Seattle. This role requires strong organizational skills, attention to detail, and the ability to manage competing priorities while maintaining a bias for action.
You will manage day-to-day administrative needs for both Directors, ensuring smooth scheduling, travel coordination, and operational support. The role involves regular interaction with cross-functional partners, support teams, and EAs across the organization. This position requires someone who is proactive, detail-oriented, and able to manage multiple workstreams simultaneously.
This role requires five (5) days a week in office.
Key job responsibilities
- Manage and maintain complex calendars for two Directors across multiple time zones; schedule and reschedule meetings, resolve conflicts, and ensure both leaders are prepared for upcoming commitments.
- Monitor and triage incoming requests, flagging urgent items and routing communications appropriately.
- Coordinate domestic and international travel, including flights, hotels, and ground transportation. Process expense reports and reconciliation in compliance with Amazon policies.
- Support recurring team operational mechanisms (e.g., staff meetings, business reviews, team communications) by scheduling, tracking action items, and distributing materials.
- Organize and manage team meetings, off-sites, and morale activities, including logistics planning, room bookings, catering, and attendee coordination.
- Partner with the team program manager and senior EAs on cross-organizational projects by supporting logistics, tracking deliverables, and escalating blockers as appropriate.
- Contribute to team EA resources by documenting processes, maintaining standard operating procedures (SOPs), and sharing best practices with peers.
