Position Summary:
The Associate Experience Coordinator provides general administrative and organizational support for the Associate Experience team ranging from day-to-day activities to large-scale team initiatives. This role supports other members of the team in the areas of Culture, Engagement, DE&I, and Rewards and Recognition. The incumbent’s time should be evenly distributed within these areas, though strategy and time of year may warrant a more significant shift in one area versus another. This role is also a point person reporting, assisting with publication and distribution of data and other metrics.
Principles Repsonsibilities:
Culture & Engagement:
- Track and monitor administrate components of the company’s onboarding program ensuring hiring managers and new associates receive any materials they will need within their first 30-60-90 days.
- Assist with logistics associated with rolling out the annual associate engagement survey to all sites.
- Support associate engagement survey results delivery and action planning at the direction the Associate Experience team. This includes, but is not limited to, pulling results from the survey portal, transcribing results to more readable formats for leaders, tracking compliance to reports outs, action plans, and other site-level activities.
- Assist with organizing and tracking DC Culture committee work rolling out to individual sites or across the network.
DE&I:
- Serve as a main point of contact for BRG Chairs, attending all Chair and General Member meetings, and assisting with organizing and executing annual business plans.
- Ensure BRGs and broader DE&I team offer events and other opportunities that welcome all associates. Assist with or lead events as needed.
- Proactively stay up to date on the latest trends in DE&I throughout the industry and provide feedback to BRGS, Associate Engagement team, and broader HR teams.
- Supports external recognition programs such as Top Women in Grocery and Women of Influence, HRC Corporate Equality Index at sites.
- Assist in creation and distribution of diversity celebration and awareness toolkits throughout the year.
Rewards & Recognition:
- Support the Associate Experience team with adoption of Rewards & Recognition tools for all associates to celebrate levels of high performance, significant contributions to the business, and key milestones and anniversaries
- Monitor usage and compliance of Rewards & Recognition tools across all sites; communicate results to site leaders. Assist with team and leadership reporting.
Administrative Support:
- Resolve issues as they arise during events, involving other members of the HR team and/or supervisor as needed.
- Track invoices via a centralized spreadsheet and provide updates as needed.
- Coordinate the payment of invoices and contracts in partnership with Associate Experience team and Finance. Audit and scrutinize invoices and backup documentation prior to submitting to internal customer for payment; work with Finance to resolve any issues or disputes.
- Identify cost savings opportunities and recommend plans to internal customers, provide updates on budgets and expenditures, coordinate all details with vendors, prepare written communications for attendees, track all relevant attendee information, and generate reports for final planning.
- Create and maintain a yearly calendar of events for BRGs, Culture Committees, and Associate Experience team.
- Assist in scheduling multi attendance meetings, classes, or other offerings as necessary.
- Coordinate and track shipments of any Associate Experience event, project, or initiative materials to sites and offices across the network.

Education & Experience:
- High School Diploma- minimum
- Bachelor's Degree
- 1-3 years’ experience in Human Resources, Total Rewards, and/or DE&I.
- Demonstrated communication skills (verbal, written).
- Experience managing multiple, concurrent projects
