Position Summary
Responsible to drive and support the accurate execution of Leave of Absence processes and programs for ADUSA Distribution and
ADUSA Transportation, inclusive of managing and coordinating leaves of absences (LOAs), serving as a subject matter expert
(SME) for the HR Business Partners and related stakeholder team(s). The LOA Specialist will also possess a comprehensive
understanding of Department of Transportation (DOT) regulations as they pertain to Family and Medical Leave Act (FMLA) and
other LOAs.
Primary Duties & What You’ll Be Trusted to Deliver
- Provide end-to-end management of leave of absence programs, including FMLA, short-term disability (STD), long-term disability (LTD), state-specific leave programs, Americans with Disabilities Act (ADA) parental leave, and other applicable leaves as per company policies and legal requirements.
- Oversee and manage all leave requests, including tracking and documenting associate leaves and ADAs, ensuring compliance with relevant laws and regulations, and maintaining accurate records.
- Serve as a point of contact for associate and medical teams regarding leave of absence policies, procedures, and documentation requirements.
- Serve as the liaison between the associate, medical teams, manager, payroll teams and HR Partner to ensure accurate records and pay continuity as applicable.
- Serve as the primary resource for HR Business Partners and other stakeholders on LOA and ADA policies and procedures.
- Provide guidance on complex LOA cases, ensuring adherence to company policies and legal requirements.
- Apply knowledge of DOT regulations to manage LOAs and ADA for associate's in safety-sensitive positions.
- Ensure that LOA processes align with DOT requirements, including return-to-work evaluations and medical certifications.
- Manage return-to-work processes, ensuring accurate system updates and collaboration with managers.
- Facilitate scheduling processes with on-site leaders for drivers with approved leaves of absences to ensure accurate accounting of used hours.
- Maintain confidential associate records related to leaves of absence, ensuring accuracy, completeness, and compliance with privacy regulations.
- Prepare and process necessary documentation, such as leave applications, medical certifications, and return-to-work forms.
- Stay updated on relevant federal, state, and local laws and regulations related to leaves of absence
- Identify opportunities for process improvement, automation, or streamlining of leave administration tasks to enhance efficiency and effectiveness.
- Prepare and present reports on LOA trends, usage, and compliance to senior management.
- Analyze data to identify areas for improvement in LOA processes and recommend enhancements.

Qualifications
Minimum Qualifications & Experience
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Minimum of 3 years of experience in leave administration or a related HR function.
Preferred Qualifications & Experience (if any)
- Certification in Human Resources (e.g., PHR, SPHR) or Leave Management (e.g., CLMS) is preferred.
- Prior experience in a Logistics or Transportation organization
- Power BI experience
Knowledge
- In-depth knowledge of FMLA, ADA, and other federal and state leave laws.
- Understanding of DOT regulations related to LOAs and safety-sensitive positions.
Skills and Abilities
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Proficiency in HRIS systems and reporting tools.
- Advanced capabilities in Microsoft Office; Excel and PowerPoint
