Job Summary
A professional Administrative Assistant to provide overall administrative support to the Director of Gas Delivery Technology within the Gas Technology Solutions Organization. The Administrative Assistant, will need to build a close partnership with the Director and the leadership team. Will need to be an exceptional brand manager to uphold Southern Company’s values, complement the Director’s work style, and operate with the utmost poise and professionalism. Will be an invaluable asset with the skills to manage multiple demands and support the Director, the leadership team, and organization with excellence. Will provide additional support to the direct reports of the Delivery organization.
Administrative Asst, IV – Essential Duties Include
- Maintain the Director’s schedule and manage a complex, fluid calendar with forethought, proactively addressing scheduling conflicts in a timely manner
- Primary timekeeper for all of Gas Delivery Technology
- Serve as the first line of support for employee timekeeping questions, assistance, and resolving issues
- Prepare monthly procurement card expense statements in Oracle iExpense for the Director and leadership team as well as assist associated staff with questions and issues.
- Process Gas Delivery Technology invoices as requested and resolve invoice disputes as needed
- Make travel arrangements on behalf of the Director and leadership team
- Plan and schedule a variety of meetings and events including room reservations, food, etc
- Assist with the interview process, scheduling candidates and team members, managing all documentation
- Assist in Onboarding new employees to the Gas Delivery Technology group by updating distribution lists, ensuring equipment is ordered and delivered, badge requests, parking and MARTA requests, etc
- Ensure compliance with Corporate Guidelines, General Accounting Procedures, and Sarbanes-Oxley initiatives for all administrative responsibilities
- Serve as a project coordinator for administrative projects and initiatives
- Capture meeting minutes and enter action items into Microsoft One Note
- Assist in maintaining the Departmental TEAMS sites
- Maintain departmental Outlook distributions lists
- Track corporate computer assets within the organization and ensure proper billing
- Order office supplies and computer equipment as needed
- Assist with employee new hire onboarding for administrative tasks and duties
- Assist in pulling information and creating presentations for various business needs
- Provide care for employees in times of sickness and bereavement
Skills/Experience
- High School diploma is required, Bachelor’s degree preferred
- Secretarial/Administrative Certification desired, but not required
- 3+ years providing administrative support to Sr Management
- 3+ years working in a corporate environment
- Experience working with Executive Management and their Assistants
- Advanced level computer knowledge and skills using office applications (i.e., Excel, Outlook, PowerPoint, TEAMS, One Note, SharePoint, and Word)
- Experience supporting an IT or technical department is a plus
- Prior working experience at Southern Company or working for a Fortune 500 company is a plus
