Administrative Representative

JOB SUMMARY
This position will report to the Compliance and Support Organization, although actual job assignment will support entire plant based on business need. While working under minimal supervision, the administrative representative role is to provide excellent customer service and administrative support to the plant. The use of MS Office tools such as Word, Excel, PowerPoint and Outlook are key requirements for this role. This position requires working within a team as well as working independently.
JOB DUTIES & RESPONSIBILITIES
- Perform timekeeping duties by entering employee time via a timekeeping application
- Process expenses and purchase card transactions
- Maintain compliance surrounding timekeeping and purchase card administration
- Assist with interview selection process
- Manage and maintain confidential files and information
- Schedule and coordinate meetings, conference calls & related logistics (i.e. equipment for presentations, agenda, minutes, handouts, reservations, refreshments, etc.)
- Maintain office supply inventory and order as necessary
- Coordinate special projects
- Provide back-up support for peers in various departments
JOB REQUIREMENTS
- Minimum 2 years administrative support experience is required
- Proficiency in Microsoft Word, TEAMs, Outlook, Excel and Power Point is required
- Experience with Enterprise Solutions including timekeeping via Oracle and MAXIMO is desired
- Basic understanding of accounting principles is helpful
- Knowledge of Contractor and IBEW Guidelines is preferred
- SharePoint experience preferred

- Ability to organize, prioritize and perform multiple tasks to meet deadlines
- Ability to work independently and within a team
- Proficiency in both verbal and written communications
- Ability to operate video and photography equipment for plant events
