What you’ll be doing.
Job Summary:
We’re seeking a Marketing Event Specialist to support and execute our event strategy. In this role, you will oversee the end-to-end event participation process, managing our organization’s involvement in trade shows and industry-hosted events. You will collaborate closely with marketing leadership and other departments to identify key events and manage all logistics, including registration, attendance, exhibiting, sponsorships, and the shipment of booths, tradeshow banners, flyers, and other materials. Additionally, you will track event-related expenses and ensure adherence to assigned budgets. Responsibilities include maintaining exhibiting equipment, managing event giveaways, and overseeing vendor relations, negotiations, and billing. Strong cross-collaboration skills are essential, as this role will work with teams across Commercial, Marketing, Finance, and Leadership. This position reports directly to the Vice President of Marketing & Customer Experience.
Principal Duties and Responsibilities:
- Execute the company’s event and tradeshow strategy, managing all logistical components including registration, booth setup and shipment, and coordination of event materials such as flyers, giveaways, and branded assets.
- Negotiate contracts and manage vendor relations, including coordination with event organizers, union crew, and on-site vendors to ensure smooth event execution.
- Collaborate with the marketing team to ensure event displays, social media content, email marketing, and print materials align with the company’s brand and event goals.
- Track and manage event-related expenses, ensuring adherence to budgets and providing regular reporting on expenditures.
- Ensure event logistics are fully aligned with commercial objectives and effectively communicated with the team attending the event to ensure seamless execution.
- Oversee the ordering, tracking, and inventory of event materials and giveaways.
- Support KPI measurement and reporting, ensuring event success is measured against key objectives.
- Actively pursue professional development opportunities to stay ahead of trends in B2B marketing and event management.
Required / Desired Knowledge, Experiences and Skills:
Requirements:
- Minimum of 2-5 years of experience in event planning or related roles.
- Proven experience in executing event marketing efforts, including trade show planning, attendance, and post-event reporting.
- Ability to collaborate effectively with all areas of the organization.
- Strong organizational and time management skills; self-motivated with the ability to manage multiple projects simultaneously, including, tasks from both marketing and commercial teams.
- Strong project management skills with the ability to see projects through from start to finish.
- Demonstrated ability to influence others and drive organizational outcomes without direct reporting authority.
Preferred:
- Experience in the travel protection or travel related industries is a plus.
- Strong working knowledge of project management tools (e.g. Workfront) preferred.
Education/Certifications:
Requirements:
- High School Diploma or Equivalent (GED) required.
- Relevant experience in event planning, marketing, or a related field may substitute for formal education.
Preferred:
- Bachelor’s degree in discipline such as: Communications, Marketing, Business Analytics, or Sales is a plus.

Regular and reliable attendance and reporting to the assigned work location is an essential function of this position.

Pay Range: $70,000 - $90,000 annually
Where you’ll be doing it.
This is a hybrid role based out of our San Diego office. As a hybrid role, you will be working onsite 2-3 days a week and working from home 2-3 days a week.
When you’ll be doing it.
While there is some flexibility in the hours, this position will be Monday-Friday during regular business hours (approximately 8:00am-5:00pm). Occasional overtime may be required according to business need.
