Your Role in Our Mission
As our
Office Manager, you’ll be at the heart of what we do—helping keep our office, programs, and community events running smoothly each day. From setting up meetings to supporting programs and special events, you’ll play a key role in creating an organized, welcoming, and efficient environment for both staff and community members.
You’ll take the lead on keeping the office functioning at its best by ordering supplies, staying on top of maintenance needs, and helping support new team members through onboarding and training coordination. You’ll also provide important administrative and billing support, partnering closely with program and finance staff to ensure everything stays organized, accurate, and on track.

This benefits-eligible, full-time position follows a Monday through Friday schedule, from 8:30 AM to 5:00 PM.

What You'll Do
As our Office Manager, you will:
- Enter billing charges for an assigned portfolio.
- Navigates the electronic health record to ensure that billing items are accurate and billable.
- Enters new client data into the electronic health record
- Oversees and supervises administrative staff to help facilitate efficient business operations including scheduling, communicating with staff, faxing, scanning, etc.
- Provides administrative support to clinical staff including filing, communicating via phone, scheduling, taking minutes etc.
- Organizes meetings, programs, and events for the Program/Community by arranging for facilities, speakers, catering, communications, distribution of materials and invitations.
- Ensures organization of materials in order to maintain efficient and orderly office environment.
- Ensures that incoming and outgoing mail is logged daily and is distributed to recipients.
- Completes check requests, codes expenses, reviews expense reports, and submits for payment.
- Responsible for human resources related duties such as new hire processing/orientation and maintaining licensure regulated employee files while keeping track of staff training needs.
- Orders all supplies and helps ensure maintenance of office and electronic equipment.
What We’re Looking For
To be successful as an Office Manager, you must be detail-oriented, service-focused, and comfortable handling sensitive employee information. We also require:
- High School Diploma or Equivalent from an appropriately accredited institution required.
- Minimum of 2 years’ experience in managing EHR systems.
- Unrestricted, North Carolina driver’s license and valid personal vehicle insurance.
- Experience with Medicaid, Medicare, private insurance and Managed Care Organization (MCO) billing.
- Knowledge of virtual platform systems including Microsoft Office, Teams and SharePoint
