Amazon MGM Studios is seeking a highly organized, detail-oriented Domestic Theatrical PR Operations Coordinator to support the operational infrastructure of our domestic theatrical PR function. This role is central to ensuring that domestic PR teams have the operational and administrative support they need to execute best-in-class campaigns for our theatrical slate. The ideal candidate thrives in fast-paced, dynamic environments, is comfortable managing multiple workstreams simultaneously across teams, and brings a systematic approach to asset management, distribution workflows, and cross-functional coordination. This role requires someone who is proactive, reliable, and eager to learn — someone who takes ownership of their responsibilities, executes with precision, and builds foundational processes that support a growing theatrical PR organization.
Key job responsibilities
• Maintain and manage centralized PR asset libraries ensuring materials are current, properly labeled, approved, and accessible to all domestic PR team members and the global theatrical PR coordinator in real time
• Coordinate communication with talent representatives (publicists, agents, managers) on behalf of PR leadership — managing scheduling and ongoing logistical correspondence
• Manage and maintain domestic PR campaign calendars, tracking embargo dates, press day schedules, screening dates, premiere timelines, talent availability windows, and key campaign milestones
• Support logistics coordination for domestic press days, junkets, premieres, screenings, and talent appearances including scheduling, venue logistics, material preparation, and day-of operational support
• Coordinate and schedule internal and external meetings including agency status calls, cross-functional syncs, campaign kick-offs, and leadership reviews — preparing agendas and tracking action items
• Prepare itineraries and day-of materials for press days, premieres, and screenings
• Manage agency partner coordination — scheduling regular check-ins, distributing briefs and assets and tracking deliverables against timelines,
• Process and track invoices, purchase orders, and financial documentation related to PR operations — ensuring compliance with Amazon financial policies, maintaining budget trackers, and flagging variances to PR execs
• Support onboarding of vendors and agency partners including gathering required documentation, setting up accounts in Amazon systems, and establishing communication protocols
• Maintain and update campaign documents, contact lists (media, talent reps, vendors, agency partners), schedules, and operational trackers ensuring all information is accurate and accessible to the team
• Implement tracking and reporting systems for asset distribution status, campaign milestone progress, budget pacing, and operational bottlenecks across the domestic PR function
• Manage vendor relationships related to PR operations including screening venues, travel vendors, hotels, ground transportation and promo items
• Support daily operational workflow of the domestic PR function, ensuring all team members have materials, information, scheduling support, and administrative infrastructure to execute campaigns on time and on strategy
