Executive Assistant
JOB SUMMARY
This position provides executive support to the CITO for Southern Company. This role requires considerable experience in administrative functions within a corporate setting supporting an officer. The selected candidate will demonstrate strong organizational and decision-making abilities, uphold confidentiality, operate independently amid shifting priorities, and possess thorough proficiency in computer applications and current administrative practices. This position involves regular interaction with IT Senior Leadership and Support Teams, Southern Company officers/executive assistants, and internal and external customers.
**This position will require a minimum of 4 days in the office
JOB REQUIREMENTS
Educational:
- High School diploma required
- Degree preferred
- Executive Assistant experience required; secretarial/administrative certification preferred
Knowledge, Skills, and Abilities:
- Minimum of five years providing administrative support at the executive level
- Experience handling confidential information
- Proficiency in timekeeping, expense reporting, travel arrangements, and meeting coordination
- Experience managing executive-level calendars and incoming inquiries independently
- Demonstrated initiative and self-direction in daily tasks
- Capability to represent the CITO office professionally in interactions with executives, managers, employees, and external organizations or vendors
- Strong organizational skills with capacity to prioritize, multi-task, and prepare for meetings and events
- Ability to provide formal correspondence and communication on behalf of the executive office
- Experience building and maintaining relationships across executive support teams
- Proficient in Microsoft Office products, including Outlook, PowerPoint, Word, Excel, SharePoint, and TEAMS
- Familiarity with company systems such as SCOTT, Oracle iExpense, Maximo, and Timekeeping is preferred
- Effective customer service, time management, phone, interpersonal, and communication skills required
- Attention to detail, responsiveness, and a service-oriented approach are expected
JOB RESPONSIBILITIES
Direct administrative support to the CITO for Southern Company, including:
- Phone coverage
- Arranging travel and meetings
- Preparing presentations and meeting notes
- Maintaining calendars
- Processing timesheets, expense statements, invoices, and departmental supplies
- Coordinating special projects as needed
- Providing leadership and coordination for the IT Senior Support Team
- Collaborating with executive office administrative support personnel
- Ensuring compliance with all administrative duties
- Using company technology systems such as SCOTT, Oracle iExpense, Maximo, and other software as required
- Extensive use of Microsoft Office products, including Outlook, PowerPoint, Word, Excel, SharePoint, and TEAMS
