Corporate Facilities Specialist, Senior
Job Summary
This position exists to provide support for the Facilities Services Manager and Critical Infrastructure Manager. Responsibilities include, but are not limited to: Calendar management, meeting scheduling, contract administration, time keeping, department/project cost tracking, purchase requisition, purchase orders, change purchase request creation and management, general work order initiation, invoice reconciliation, development and processing of expense accounts, account journals, files and record retention, travel arrangements, and Oracle HCM actions.
Job Requirements
- High school diploma or equivalent
- Bachelor’s degree a plus
- Demonstrated organization, prioritization, time management, and problem-solving skills
- Ability to manage sensitive and confidential information appropriately
- Strong customer focus and interpersonal skills
- Comprehensive knowledge of accounts payable and procurement procedures
- Comprehensive understanding of time keeping, accounting and budgeting systems
- Working knowledge of Enterprise Solutions systems, including Maximo, Oracle, PaySOurce, PowerPlan and similar platforms
- Proficiency in standard business applications, including Microsoft Word, PowerPoint, Outlook, and Excel
- Must exhibit behaviors consistent with Southern Company Values and our Safety‑First mentality
Job Responsibilities
- Support department manager and other members of the leadership team as needed
- Support Critical Infrastructure manager and Critical Systems team
- Initiate and track personnel-related actions in Oracle HCM and MySOurce
- Review large volume of invoices to confirm alignment with purchase orders, contracts, and service receipts; resolve discrepancies and process for payment
- Prepare and submit expense reports
- Perform timekeeping for multiple groups
- Prepare monthly journals
- Assist with Annual Contractor Compliance Training
- Plan departmental functions and assist with department-wide initiatives
- Maintain departmental website updating and editing as needed
- Prepare service and material requisitions as needed
- Purchase supplies for departmental use
This position will report to our Alabama Power Corp Headquarters.
