Amazon is looking for a bright, well-organized and self-motivated Executive Assistant to support multiple Directors within the Accounting team. This is a unique role that will allow you to flex your project management abilities while providing support to our Executive leaders.
You will have a strong attention to detail, and be an experienced planner with a demonstrated ability to meet tight deadlines. A high level of integrity and discretion handling confidential information, and professionalism in dealing with leaders is also important, as is the ability to be flexible and change direction seamlessly.
In this role, you will be responsible for a wide range of activities including management of complex calendars and scheduling requirements, tracking key deliverables, coordinating travel, expenses and budgeting, project coordination, and communications. Other responsibilities include, but are not limited to, coordinating meeting agendas, facilitating key team activities and events (such as team summits and employee engagement activities), general office management, and space planning. As an Executive Assistant, you’ll have the opportunity to act as an extension of our Leaders in partnership with a solid team of other Executive Assistants and key business partners.
You will be an experienced Administrative Professional who is looking for their next big opportunity to grow & advance their career. You will be a fast learner with experience using sound judgement while working in a fast paced, goal-oriented, and ever-changing work environment, and have strong prioritization abilities to complete a high volume of complex tasks with minimal to no supervision. You will also be a detail-oriented planner with the demonstrated ability to communicate and respond effectively and efficiently while maintaining flexibility, a sense of humor, and most importantly grace under pressure.
Finally, you will be someone who wants to be more than “just an Admin” and is ready to build a deep and trusting, long-term professional relationship our Directors. Over time, the relationships will blossom into strong partnerships, and the Executive Assistant will be a key player of the team with the opportunity to take on special projects with increased responsibility that will help drive the Accounting business to new heights as they pioneer into the unknown.
This role requires five (5) days a week in office.
Key job responsibilities
Responsibilities include but are not limited to:
• Effectively and proactively support multiple leaders within the Accounting organization - complex calendar management and scheduling to support teams in multiple locations
• Expense reimbursement including report coordination, submission and issue tracking
• Coordinate global schedules and travel arrangements (cost effective air, hotel, and ground transportation and creating detailed travel itineraries), seamless meeting logistics, such as video conference and conference calls for internal and external meetings
• Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner
• Organize, execute, and assist with team activities (staff meeting agendas, all-team meetings, off-sites, and team social events)
• Track and help drive completion of key deliverables and follow up on outstanding items (including meeting notes and action items) from LT and team meetings
• Work closely with the leadership team and other Executive Assistants to provide support to the organization
• Document/Presentation creation, editing, and readiness
• Help to develop & maintain new mechanisms within the team

About the team
Corporate Accounting and Reporting led by Chris Richard, with an org size of 109, is responsible for ensuring strong controllership, particularly with respect to Amazon’s external reporting obligations as a public company listed on the NASDAQ stock exchange, and is a central accounting team that coordinates and works across the entire global accounting organization of 1200 employees, and many other business partners across Finance and Global Business Services (FGBS) and other organizations within Amazon. We have teams focused on SEC Reporting, Accounting Close Management, Cash Flow, Stock-Based Compensation, Contingencies, Treasury, Intercompany, Foreign Exchange, Transfer Pricing, Investments, Mergers and Acquisitions, Global Expansions and Restructurings, Technical Accounting Policy, and Global Financial Risk and Controls (including Sarbanes-Oxley internal controls compliance).
