Risk Management Specialist
Job Summary
Manage the day-to-day administrative functions of the Risk Services Division office. These duties include personally receiving customer complaints, concerns, and pulling daily property damage claims that are created by the customer call centers. These claims are then documented onto Risk Services claims forms and routed to appropriate personnel for handling. Serve as a source of information regarding departmental processes and maintain the RiskMaster (RMX) claims and litigation database for the Division.
Minimum Job Requirements
- High school diploma required, 2-year degree preferred
- At least 3 years in an administrative position.
- Proficient in Microsoft Office applications required (Outlook, Word, Excel, Access and PowerPoint). Experience with CSS, RMX, and Business Intelligence report writing preferred.
- Experience and access authorization in CSS to pull property damage claims and the ability to notate customer accounts on status updates, in order that call center representatives can update customers on status developments is preferred.
- A thorough understanding of departmental activities and contacts is necessary to provide an efficient exchange of information among the management team, staff, and inside and outside legal counsel.
- Proficient in applying accounting rules and account number methodology.
- Excellent time management and organizational skills required.
- Experience with APC accounting system to process corporate card charges, expense accounts, and check requests is preferred.
- Ability to manage a variety of tasks with minimal supervision.
- Excellent written and oral communication skills and interpersonal skills are essential in working with internal and external customers, attorneys and management.

Job Responsibilities
- Knowledge of general office procedures and company policies – used to ensure smooth daily operation and compliance within the Risk Services Organization.
- Responsible for the timely transmission of Transmission and/or Distribution (T&D) claims to the appropriate personnel within the division and follow up to make sure the claim is handled properly and provide documentation.
- Participate in regular department meetings, training and calls.
- Enter all personal injury and property damage claims received via CSS, telephone call, e-mail or in-house into RMX, ensure documents are maintained on the “S” drive, and adhere to the Company’s record retention schedules.
- Gather relevant claim information as directed by management.
- Work with Analysts and Area Managers on the proper documentation of claims in RMX and on the S: drive.
- Administrative support, including but not limited to, the recordkeeping of all claims and settlement related documents in RMX and on the S: drive.
- Generate detailed reports under the direction of management.
- Process counsel legal fees and expense payments on claims and litigated matters and accurately capture these expenses in RMX
- Support Public Safety Awareness Department upon request.
- Responsible for monitoring claims checks assigned to Risk Services personnel ensuring they are entered as specified by accounting regulations into the accounts payable claims check data log.
- Local coordination of responses to legal subpoenas.
- Must maintain the highest degree of professionalism and trustworthiness in handling confidential information.
- Regularly attend safety meetings.
- Strictly adhere to all Company and department compliance, governance, and legal requirements, including, but not limited to, the timely completion of all required compliance courses.
- Other duties assigned by management.
