Administrative Assistant – Nuclear Fuel and Analysis
GRADE LEVEL: Non-Exempt 05 - 06
JOB SUMMARY
The Administrative Assistant will provide direct administrative support to the Nuclear Fuel & Analysis Director and the Nuclear Fuel & Analysis/Risk Informed Engineering organization as required and will report to the SNC Nuclear Fuel & Analysis Director. This position will act as a point of contact for internal and external customers of the organization. A minimum of five years’ experience in the administrative/secretarial/support area is strongly preferred. In addition, the successful candidate must have exceptional organizational and decision-making skills, must be a self-starter and possess the ability and desire to work through changing priorities with minimal supervision. Finally, the successful candidate must exhibit Our Values and be a team player with an exceptional working knowledge of computer office applications. This position is located at the Corporate Office in Birmingham, AL.
JOB REQUIREMENTS
Education
- High school diploma is required
- Bachelor’s degree preferred
- Secretarial/administrative certification desired but not required
Experience
- Experience supporting management is strongly preferred
- Demonstrated ability to build relationships and work effectively with all levels of management, peers, contractors, and internal/external customers is required
Knowledge and Skills
- Strong communication and interpersonal skills are required
- A working understanding of Southern Nuclear daily systems is preferred
- Knowledge of computer and software packages (Word, Excel, PowerPoint, Outlook)
- Experience with Enterprise Solutions, including time keeping via Oracle preferred
- Extensive knowledge of Microsoft Office products (Excel, Outlook, Power Point, Word, etc.)
- Strong time management, judgment, prioritization and discretionary abilities
- Strong attention to detail in task assignments
- Ability to handle multiple tasks and requests from other departments
- Ability to work in a team environment with diverse disciplines and backgrounds

KEY JOB RESPONSIBILITIES
- Phone coverage, calendar management, travel arranging, timekeeping, expense and invoice processing and other administrative support
- Prepare and update correspondence including letters, memorandums, reports and presentations
- Process quality records into the document repository
- Coordinate and schedule meetings, appointments, conference rooms and audio/visual needs
- Order office supplies and arrange for catering and event logistics as needed
- Assign document numbers and process documents into Documentum, including SUNSI documents
- Provide timekeeping for leadership and support the department with timekeeping coordination
- Onboarding of contingent workers and monthly verification of IDs
- Process accounts payable invoices, check requests, and purchase requisitions as required
- Support proctoring exams for Engineering organization
- Prepare and review expense statements for leadership
- Create, maintain, and update files, charts, and email distribution lists for the organization
- Formulate travel arrangements for leadership and staff
- Maintain confidentiality, integrity, and a high level of professionalism at all times
- Support team projects and participate in special projects as needed
- Proactively assist other administrative assistants as needed, coordinate coverage and provide backup
- Able to work efficiently with minimum supervision
