This position is responsible for providing administrative and logistical support that enables the effective delivery of Power Delivery Technical Training. The role coordinates training logistics such as scheduling, travel and lodging, expense and invoice processing, and maintenance of training records, while working closely with instructors, participants, vendors, and training staff in a fast‑paced, high‑volume training environment.
This is an onsite role at the Klondike location, with a Monday –Thursday schedule from 7:00 a.m. to 5:30 p.m.
Job Requirements
- Must have a 3 – 5 years of administrative support experience
- Knowledge of basic accounting and financial processes.
- Working knowledge of Enterprise systems, including Maximo, Oracle, PaySource, and Learning‑Source or similar systems
- Proficiency in standard business applications, including Microsoft Word, PowerPoint, Outlook, and Excel.
Major Job Responsibilities
- Provides front‑line administrative and customer support for the training center, serving as the initial point of contact for employees, guests, and vendors, and responding to facility access and general inquiries.
- This position will support a department of 20 people.
- Coordinates logistical support for training programs (100+ including students and guests) , including class scheduling, student communications, classroom setup, equipment, meals, refreshments, lodging, and testing support as needed.
- Manages financial and procurement activities related to training operations, including creating purchase requisitions, processing purchase orders, reconciling invoices, and processing corporate card expenses.
- Manages vendor relationships for hotels and catering services, including negotiating rates, overseeing service delivery, and ensuring cost control, quality standards, and accurate billing.
- Maintains accurate training and student records in Learning‑Source and physical filing systems in compliance with company records retention and records management requirements.
- Serves as the primary contact for timekeeping activities for training staff, including verification of time entries and locking time in accordance with established procedures.
- Supports training center operations by monitoring and ordering office and training supplies, posting required compliance and labor relations communications, and providing general administrative and logistical support to managers, supervisors, and training staff.
