Position Summary The
Coordinator Human Resources plays a key role in supporting the HR Director. Additionally, this role provides direct support to the Talent Team, helping to plan and execute meetings, events, and programs that enhance both the employee and candidate experience. The Programs Coordinator also contributes to HR communications, data insights, and project initiatives that drive our team's success.
This is a highly visible role offering exposure to multiple areas of Human Resources as well as the ADUSA Distribution and Transportation Leadership team.
Primary Duties & What You'll be Trusted to Deliver - Executive and Administrative Support:
Provide high-level administrative assistance to the HR Vice President and Talent Team, including complex calendar management, travel coordination, expense reporting, and the planning of meetings, offsites, and HR events. - Project and Program Coordination:
Partner with HR leaders to support the execution of key projects and initiatives, ensuring timely follow-up, clear communication, and creative problem-solving across teams. Assist with HR activities such as onboarding, reporting, and project planning. - Event and Meeting Management:
Coordinate all logistics for HR meetings, programs, and events (both on-site and virtual), including venue selection, contract negotiation, catering, supplies, and communications. Serve as the primary on-site contact to ensure smooth execution, resolve issues in real time, and oversee post-event evaluation and cost analysis. - Data and Reporting:
Gather, organize, and analyze HR data to support presentations, communications, and decision-making. Track budgets, process invoices, and maintain accurate financial documentation. - Budget Management:
- Liese with service providers and Finance to resolve billing concerns and ensure timely payment. Prepare complex allocation schemes for invoicing.
- Communications and Presentation Support:
Prepare professional presentations, reports, and internal communications using PowerPoint and other tools, such as Canva, leveraging AI and other technologies to enhance efficiency and quality. - Operational Excellence:
Serve as a central point of contact for basic HR inquiries. Maintain professionalism and confidentiality in all interactions and continuously identify opportunities to improve administrative processes and team efficiency.
Qualifications - High School Diploma required; Business School or Associates Degree Preferred
- 2-4 years of HR or Administrative related experience
Knowledge - Advanced proficiency in the Microsoft Office Suite, including:
- PowerPoint: creating and editing polished, visually engaging presentations
- Excel: data tracking, analysis, and reporting
- Word: professional document formatting and editing
- Outlook and Teams: scheduling, messaging, and collaboration
- Comfortable learning and using modern digital tools, including AI-based applications, Canva, and other presentation or content platforms.
Skills and Abilities - Exceptional organization and attention to detail, with the ability to manage and prioritize multiple projects and deadlines across teams.
- Strong verbal and written communication skills, with professionalism and clarity in all interactions.
- Proven customer-focused mindset and ability to build positive, collaborative relationships across all levels of the organization.
- Demonstrated initiative, adaptability, and a sense of urgency in a fast-paced environment
- Confidentiality and Integrity are a MUST.
Other Requirements - Ability to travel up to 10% for meetings or events
- Must be able to stoop, bend and lift up to 20 lbs. as needed for event or meeting prep
- On-site attendance at least 3 days per week
