Administrative Assistant

This position is responsible for providing administrative support for the National Carbon Capture Center (NCCC) Director, Assistant Director, and functional managers. This position is located in Wilsonville, Alabama.

High-Level Tasks/Project Responsibilities:

  • Providing administrative support for the NCCC Director, Assistant Director, and functional managers including calendar and schedule management, expense report and invoice processing and reconciliation, and travel management - flights, hotel, car service/rental, meals
  • Performing various administrative duties including NCCC department calendar management and coordinating meetings and events, including catering, room set-up and breakdown
  • Serving as the NCCC timekeeper including responsibility for government project time entry, retention, and submission as directed by government compliance.
  • Reconciliation of government expense reports as directed by government compliance.
  • Performing various administrative duties including procuring and maintaining office and breakroom supplies, and coordinating office maintenance
  • Providing assistance to NCCC procurement specialists for purchasing support, invoice submission, and reconciliation
  • Maintaining department documents and participating in record retention efforts
  • Ensuring adherence to Southern Company administrative, accounting and compliance procedures
  • Providing backup assistance to other administrative support personnel
  • Performing ad hoc miscellaneous administrative assignments as directed


Job Experience needed:

  • Minimum 3 years of administrative experience required.
  • Demonstrated strong personal computer skills using Microsoft Office products (Outlook, Word, Power Point and Excel), also experience with accounting software/Oracle and Maximo preferred.
  • Experience working in a fast-paced office environment with a proven ability to successfully handle multiple tasks at the same time is strongly preferred.
  • Proven exceptional interpersonal and communication skills.


Education

  • High school diploma


Knowledge, Skills & Abilities:

  • Current administrative skills necessary to support director and management level positions.
  • Strong organizational and time management skills including the ability to prioritize, multi-task, perform activities from multiple personnel and meet deadlines required.
  • Must be skilled in working with Microsoft Office products and have ability to provide assistance with new procedures, processes, and programs.
  • Ability to interact professionally with a variety of position levels and personalities (internal and external clients, management, peer administrative personnel and department employees)
  • Strong listening skills with the ability to concentrate and demonstrate patience.
  • Must possess excellent written and verbal/phone communication skills.
  • Ability to make decisions and anticipate next steps.
