EXECUTIVE ASSISTANT
This position provides executive support to the SVP, Chief Information Security Officer (CISO), for Southern Company. The successful candidate will have extensive experience in the administrative field supporting an officer in a corporate environment. They must possess exceptional organizational and decision-making skills, maintain the highest confidentiality, be a self-starter with the ability and desire to work through changing priorities with minimal supervision, demonstrate anticipation and initiative, and have an exceptional working knowledge of computer applications and administrative best practices. In this position, the successful candidate will work closely with the Southern Company Cybersecurity team, Technology Organization Senior Leadership and Support Teams, Southern Company officers / executive assistants, as well as internal and external parties, including government and private sector.
JOB REQUIREMENTS
Educational:
- High School diploma required
- Degree preferred
- Executive Assistant experience required
- Secretarial / administrative certification(s) preferred
Knowledge, Skills and Abilities:
- Five years or more extensive experience providing administrative support at the executive and/or senior director level
- Experience managing confidential information
- Experience with timekeeping, expense reporting, arranging travel, and coordinating meetings.
- Experience managing an executive-level calendar and incoming inquiries with minimal direction
- Demonstrated experience taking initiative and being a self-starter in day-to-day responsibilities
- Ability to professionally represent Southern Company Cybersecurity, including professional interactions with other executives, managers, peers, department employees, external groups (including all levels of government) and vendors
- Exceptional organizational skills with ability to prioritize, multi-task and proactively prepare for upcoming meetings, events and initiatives
- Ability to provide professional correspondence and communications as a trusted representative of the executive office
- Ability to build and maintain relationships with executive support across Southern Company
- Demonstrated proficiency in Microsoft Office products, including Outlook, PowerPoint, Word, SharePoint and Excel
- Demonstrated proficiency in human resource systems (SHIPS), timekeeping systems (STARS), travel systems (SCOTT), and expense and invoice systems (Oracle iExpense and Maximo)
- Must possess excellent customer service, time management, phone, interpersonal, and communication skills
- Candidate must possess a strong attention to details, maintain a sense of urgency and be service oriented
JOB RESPONSIBILITIES
- Direct administrative support to the SVP, CISO for Southern Company to include the following:
- Managing specific workspaces in Atlanta location
- Employee on-boarding processes
- Phone coverage and managing external party expectations
- Travel and meeting arrangements
- Preparation or quality control of presentations and meeting notes
- Calendar maintenance
- Processing of timesheets, expense statements, invoices, and departmental supplies with expectations for quality and timeliness
- Coordinate special projects as needed
- Provide leadership and coordination for the Southern Company Cybersecurity Support Team, developing others and ensuring consistency where consistency is valuable.
- Work closely with executive office administrative support
- Ensure compliance for all administrative responsibilities
- Work extensively with all company technology systems including SHIPS (human resources), STARS (timekeeping), SCOTT (corporate travel), Oracle iExpense (expenses) and Maximo (budgeting and invoices) as well as other company specific software.
- Work extensively with Microsoft Office products, including Outlook, PowerPoint, Word, TEAMS, SharePoint and Excel.
- Lead Southern Company Cybersecurity safety initiatives, with specific expectations for training oversight and annual drills.
- Develop and execute on-going “return to work” plans in conjunction with leadership.
